Position Overview
We are seeking a detail-oriented Administrative Assistant with tool crib and/or maintenance support experience to support the Facilities & Equipment Maintenance Department. This role is responsible for managing parts inventory, maintaining accurate records, and providing administrative support to ensure efficient maintenance operations in a fast-paced manufacturing environment. This position plays a critical role in ensuring that maintenance teams have timely access to tools, parts, and accurate data to support operational uptime and production goals.
This position is based in our satellite production facility in Midland, TX.
Compensation & Schedule
- Pay: $22 - $28/hour based on experience, with overtime opportunities. Higher-level roles are available for more experienced candidates at increased pay.
- Overtime: May be required on weekends based on business needs
What You'll Do:
Tool Crib & Inventory Management
- Oversee daily tool crib operations, including issuing, receiving, and tracking tools, parts, and maintenance supplies.
- Maintain accurate inventory levels of spare parts, consumables, and equipment to support operational needs.
- Conduct cycle counts and periodic audits to ensure inventory accuracy and accountability.
- Monitor usage trends and coordinate timely reordering of critical parts to minimize downtime.
- Partner with procurement and vendors to order, receive, and manage materials.
- Maintain organized and efficient storage systems for tools, parts, and equipment.
Administrative & Maintenance Support
- Provide administrative support to Facilities and Maintenance leadership.
- Prepare and maintain maintenance logs, reports, and related documentation.
- Track work orders, preventative maintenance schedules, and service records.
- Assist with scheduling maintenance activities and coordinating vendor services.
- Perform data entry and reporting within maintenance and inventory systems.
Documentation & Compliance
- Maintain accurate records for equipment, inspections, and maintenance activities.
- Ensure compliance with internal procedures, safety standards, and audit requirements.
- Support the development and maintenance of SOPs and process documentation for tool crib and maintenance operations.
Coordination & Communication
- Serve as a liaison between maintenance, operations, and procurement teams.
- Communicate inventory shortages, delays, and critical needs to leadership in a timely manner.
- Support cross-functional collaboration to improve workflow efficiency and operational effectiveness.
Continuous Improvement
- Identify opportunities to improve inventory control, organization, and tracking processes.
- Support the implementation of systems and tools to enhance maintenance and inventory operation
What You Bring:
- High School Diploma or equivalent required.
- Must be authorized to work in the United States
- Must be at least 18 years of age
- Associate degree or technical certification preferred.
- Ability to read, write, and communicate effectively in English
- Minimum of 2–4 years of administrative experience in a maintenance, manufacturing, or tool crib environment
- Hands-on experience managing parts inventory, tools, or maintenance supplies required
- Microsoft Office Suite (Excel, Word, Outlook) (tracking, reporting, formulas preferred)
- Inventory and ERP systems (preferred) (e.g., NetSuite, SAP, or similar preferred)
- Maintenance tracking systems (CMMS preferred)
- Strong time management skills with the ability to prioritize tasks independently
- Ability to work with minimal supervision in a fast-paced environment
- Hands-on experience with basic tools and maintenance equipment
- Ability to safely lift up to 40 pounds and perform physical tasks as required
- Strong attention to detail and commitment to quality work

- Ability to lift, push, and/or carry items up to 35 pounds as required
- Ability to work near moving mechanical parts and equipment
- Ability to work in and around tight or confined spaces
- Ability to type up to 8-12 hours per day
- Ability to Reading, identifying colors of labels or signage
- Must comply with all PPE requirements, including:
o Steel-toe shoes
o Safety glasses
o Hard hat (as required)
