Job Description

We are seeking an experienced Executive Assistant to support three VC Partners in our New York office. This role is ideal for a highly organized, detail-oriented professional who excels at managing complex schedules, coordinating logistics, and keeping executives operating efficiently in a fast-paced environment.

In addition to core executive assistant responsibilities, this role will take ownership of day-to-day office management, ensuring a well-run, organized, and welcoming office environment. The Executive Assistant will also support planning and coordination of events tied to industry conferences and firm marketing initiatives. The role works closely with internal teams and partners across time zones, including our Tel Aviv office.

This position requires flexibility and responsiveness and is not a standard 9–5 role. Occasional early mornings, evenings, or limited weekend availability may be required.

Responsibilities Include

  • Provide day-to-day executive assistant support to three Partners, including complex calendar management, inbox support, and meeting coordination across multiple stakeholders and time zones
  • Manage all aspects of domestic and international travel, including itineraries, logistics, and expense reporting
  • Coordinate internal and external meetings, prepare agendas and materials, and support follow-up as needed
  • Serve as a point of contact between the Partners and internal and external stakeholders, ensuring clear communication and efficient scheduling
  • Support planning and execution of events related to industry conferences, investor meetings, and firm marketing initiatives, including logistics, scheduling, and coordination with internal teams and external vendors
  • Own day-to-day office management for the New York office, including:
  • Managing relationships with office vendors (facilities, IT, cleaning, supplies, etc.)
  • Ensuring the office is stocked with snacks, beverages, and supplies
  • Coordinating office maintenance and addressing issues as they arise
  • Supporting onboarding and offboarding logistics
  • Maintain a high level of discretion and professionalism when handling confidential information
  • Partner with colleagues across the New York and Tel Aviv offices to support seamless coordination
  • Provide general administrative support as needed to ensure smooth day-to-day operations

Qualifications (Experience, skills)

  • 3+ years of experience as an Executive Assistant supporting senior leaders (Partner, C-suite, or equivalent)
  • Demonstrated experience supporting multiple executives simultaneously
  • Strong organizational skills and exceptional attention to detail
  • Clear, professional written and verbal communication skills
  • High level of discretion, reliability, and professionalism
  • Ability to prioritize competing requests and remain calm under pressure
  • Experience working in a fast-paced, in-office environment
  • Comfort working across time zones and with non-standard hours when required

Preferred Qualifications

  • Experience in venture capital, private equity, finance, or a professional services environment
  • Experience with office management, vendor coordination and event planning
  • Hebrew proficiency is not necessary but would be a huge plus!
