We are seeking a highly organized, detail-oriented, and proactive Office Administrator to manage the day-to-day operations of our small office of 40 employees. The ideal candidate will be a flexible problem-solver with excellent communication skills and the ability to multitask effectively. This role is critical to ensuring the smooth functioning of the office, maintaining a safe and comfortable workplace and supporting the team in achieving organizational goals.

Opportunity Overview

    1. Administrative Support
      • Provide administrative support to ensure efficient office operations, including answering phone calls, responding to emails, and scheduling meetings
      • Perform general office duties such as filing, typing, data entry, copying, and scanning
      • Maintain and update office records, databases, and documentation
    1. Office Management
      • Manage office supplies inventory and place orders as needed
      • Oversee office equipment maintenance, including printers, copiers, and other devices
      • Ensure the office environment is clean, organized, and conducive to productivity
    1. Client and Team Interaction
      • Greet and assist clients or visitors who come into the office
      • Build and maintain strong client relationships by providing excellent service
      • Act as a point of contact for internal teams, ensuring smooth communication and coordination

    1. Task Coordination
      • Assist in organizing and coordinating office projects, ensuring deadlines are met and resources are allocated appropriately
      • Support HR functions, such as onboarding new employees and assisting with recruitment efforts
    1. Technology and Tools
      • Proficiently use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software
      • Manage calendars, inboxes, and task-oriented software for the team
      • Basic understanding of Oracle and place expense PO when needed

All About You

  • Education: College degree or above in business administration or a related field is preferred.
  • Experience: Minimum of 5 years related experience in an administrative or office management role
  • Skills:
    • Strong organizational and time management skills
    • Good written and reading English skills; verbal is a plus.
    • Ability to prioritize tasks and adapt to changing priorities
    • Proficiency in Microsoft Office Suite and familiarity with EPR tools.
    • Friendly demeanor and ability to work well with diverse teams
