POSITION SUMMARY

We are looking for a highly organized and proactive Executive Assistant to support senior leadership in Mexico. This role will also oversee general office administration, ensure smooth day-to-day operations and provide support across the organization.

KEY RESPONSIBILITIES

  • Provide high-level administrative support, including correspondence, presentation preparation, conference call coordination, travel arrangements, expense reporting, and calendar management.
  • Prepare and design correspondence, reports, presentations, charts, and other business materials.
  • Proofread and edit documents for accuracy, clarity, grammar, and formatting, including handling confidential information.
  • Maintain strict confidentiality regarding company and employee-related information.
  • Manage office operations, including meeting room coordination, office supplies, and general workplace needs.
  • Oversee courier services (e.g., FedEx), including shipments and deliveries.
  • Organize internal and external company events.
  • Coordinate travel arrangements for employees and support logistics for external visitors.
  • Manage general administrative tasks such as petty cash control, vendor coordination, office building management, parking administration, and supplier follow-ups.
  • Support special projects and initiatives led by the VP and leadership team.
  • Conduct research and provide insights on administrative best practices as needed.

EDUCATION & EXPERIENCE

  • Bachelor’s degree in Business Administration or related field
  • 2+ years of experience in a similar role
  • Advanced English proficiency (written and spoken)
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
