Role Summary
This role sits at the intersection of executive support, legal operations, and the systems that move Legal's work forward — Google Workspace, Onit, Ironclad, and Box. You will be the connective tissue between these two executives and their partners across Supply Chain & Manufacturing, Real Estate & Construction, Privacy, Finance, and outside counsel, and you will help shape how Legal's platforms, reporting, and workflows fit together to support a function that is scaling quickly.
Why This Role Matters
- Two executives, one operating rhythm. Legal's most senior leaders can only move as fast as their calendars, their materials, and their follow-through allow. You own that rhythm, and the difference between a well-run week and a chaotic one is almost entirely this role.
- Legal moves at the speed of its documents. Contracts, signature routing, POs, and license renewals are where legal work either advances or quietly stalls. You keep them moving through Box, Ironclad, and Onit — and you notice when something has been sitting too long.
- Visibility into how Legal spends. Budget and matter reporting out of Onit is how Legal's leadership understands its own cost structure and its outside counsel relationships. You produce the reporting that makes those conversations possible.
- Discretion is the job, not a footnote. You will handle privileged, confidential, and personally sensitive information across both corporate and compliance matters. The trust required here is the reason this role sits where it does.
- A front-row seat as Rivian scales. Real estate and construction for a growing footprint, supply chain agreements, privacy and AI governance — you will see the company's expansion from the inside, and be part of building the operating habits that support it.
Responsibilities
- Own daily calendar management for the Chief Corporate Counsel and the Chief Ethics, Compliance and Privacy Officer, including scheduling, prioritization, and meeting logistics
- Provide calendar support for Senior Corporate, Real Estate, and Privacy leadership as needed
- Anticipate and absorb last-minute changes, resequencing commitments so that the highest-priority work still lands
- Partner with the Sr. Leadership Administrative Business Partner to resolve competing priorities across the two executives
- Lead and contribute to special projects defined by the Chief Corporate Counsel
- Track Purchase Orders and licenses for the Real Estate & Construction team, including monitoring and submitting PO renewals ahead of expiration
- Interface with staff from governmental agencies and outside counsel offices on administrative and coordination matters
- Prepare meeting summaries and maintain a running record of team accomplishments and commitments
- Manage administrative operations for the Ethics, Compliance and Privacy team
- Support production and completion of the team's AI newsletter, coordinating contributions and timelines
- Provide additional support across the function as scope and experience allow
- Route documents and contracts for signature via Box, Ironclad, and other platforms, tracking status through completion
- Build fluency in Rivian's legal technology stack and serve as a reliable operator within it
- Maintain organized, access-appropriate document structures for both corporate and compliance matters
- Handle privileged and personally sensitive information (including PSI) with consistent discretion
- Draft budget and matter reports from the Onit client matter management platform
- Build and maintain Google Sheets trackers that leadership relies on for status, spend, and follow-through
- Draft reports, letters, and correspondence, and provide proofreading and formatting support
- Prepare Google Slides presentations suitable for team, cross-functional, and executive audiences
- Plan and support team off-sites and team meetings end to end
- Prepare and process expense reports for both executives as needed
- Contribute to an inclusive, welcoming team environment across two organizations
Qualifications
- Bachelor's degree or equivalent practical experience
- 4+ years of experience in an administrative, legal support, or business operations role, preferably in the technology industry and supporting senior leaders in a legal environment
- Advanced Google Workspace skills, particularly Google Sheets and Google Slides, plus demonstrated ability to learn company- and legal-specific platforms
- Familiarity with — or a clear desire to learn — Onit (formerly SimpleLegal) and Ironclad
- Strong organizational, project management, and problem-solving skills with excellent multi-tasking ability
- Highly organized, with proven ability to prioritize under pressure and across competing stakeholders
- Ability to operate with limited day-to-day direction and a consistent "get-it-done" orientation
- Ability to anticipate and accommodate last-minute changes in a fast-moving environment
- Demonstrated experience handling highly sensitive and confidential information, including personally sensitive information (PSI)
- Clear written and verbal communication, with the confidence to ask effective questions and escalate early
- Ability to build trusted working relationships across seniority levels and functions
- Willingness to become a commissioned Notary Public within the first year of employment
- Paralegal, legal assistant, or law firm operations background, including candidates seeking to transition from a firm environment into an in-house technology setting
- Experience in high-growth technology, automotive, manufacturing, or EV environments
- Prior experience supporting C-level or General Counsel-level leaders, or supporting two principals simultaneously
- Hands-on experience with Onit or SimpleLegal, Ironclad, Box, or comparable matter management and CLM platforms
- Exposure to real estate, construction, supply chain, or privacy and compliance functions
- Active Notary Public commission
Pay Disclosure
The compensation range for this role is USD $40.67/hr-$50.84/hr for SoCal-based applicants and USD $37.42- $46.77/hr for NorCal-based applicants. This is the lowest-to-highest compensation we, in good faith, believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors, including but not limited to specific competencies, relevant education, qualifications, certifications, experience, skills, geographic location, shift, and organizational needs.
